Front Office Staff Position

Position Summary

The FOS provides administrative support for all positions within the Practice. The FOS will provide excellent customer service when assisting patients, checking patients in and out, placing outgoing phone calls, receiving incoming calls, confirming appointments and record keeping. The FOS will support the mission of the practice by demonstrating excellent customer service and keeping accurate records.

 

Job Functions

The position’s responsibilities include but are not limited to:

  • Open the office and ensure the front office is in order
  • Retrieve phone messages and prioritize return phone calls
  • Greet and assist/direct patients who come to the practice
  • Answer incoming calls and guide patients to the appropriate service
  • Schedule appointments, confirm next day appointments, track referral source for all patients
  • Distribute and obtain appropriate forms, including new patient information, insurance information, personal history, companion form and HIPAA information for all patients
  • Prepare, pull and file client charts on a daily basis
  • Confirm hearing aids and ear molds are ready prior to patients’ appointments
  • Assist providers with calls to manufacturers, including ordering hearing aids as needed
  • Post patient charges, bill insurance, collect and record patient payments
  • Verify insurance eligibility and benefits for patients prior to their appointments
  • Prepare and ship repairs and returns to vendors/receive and check in new orders and repairs returned from vendors
  • Create correspondence to existing patients to motivate them to return to our Practice and encourage Patients for Life; follow up to written correspondence by making outbound calls to attempt to schedule these patients for appointments
  • Assist with other mailings as needed, such as newsletters and holiday cards

 

Miscellaneous Duties

  • Participates in continuing educational events, which will require occasional travel
  • Maintain an attractive and welcoming office environment, replenish refreshments as necessary
  • Establish and maintain good public relations and provide excellent customer service
  • Practice good safety and infection control protocols
  • Exercise confidentiality as it relates to all business and client information (HIPAA)

We are considering one full-time person (35 hours/week) or 2 part-time positions per week (3 7-hours days/week). All staff members are expected to work at both our Lakeville and Henrietta offices.
